TPPC Officers’ Special Meeting Minutes May 3, 2020
Present: Knowlton, Asbel, Howard, Dwyer, Crane
Knowlton reported that she and Deb Howard had attended a meeting with the COVID-19 pickleball sub-committee to discuss the Phase 1 soft opening of the pickleball courts. Prior to the meeting Knowlton had provided to the Task Force a list of safe ways to open the Lodge pickleball courts for play. The Task Force sub-committee and TPPC discussed rules necessary for a Phase 1 safe reopening of the Courts. She noted that it was important to plan details of this opening and that the TPPC Officers would meet after the TP Board meeting on May 4 to plan.
Knowlton outlined a list of restrictions as follows proposed by the COVID Task Force sub- committee that would be presented to the TP BOD meeting on May 4.
--Play will proceed as follows in order to play safely and for the courts to remain open.
- Play is open to TPPC members ONLY with no guests allowed.
- Four (4) specified courts (two (2) near the Lodge parking lot and two (2) on the pool side) with up to four (4) players on each court will be used for open play. Center courts will not be used.
- Players must sign up on pickleball den for a scheduled 2-hour block of time with no more than four (4) players and a waiting list for each court. No one will be able to play by just showing up at the courts.
- no spectators or gatherings at the Courts is allowed so as to keep within guidelines.
- A monitor will be available at the Courts during each blocked time slot to organize play and make sure all rules posted by Timber Pines are adhered to. They will have a list of all players who have signed up for each court for each time block.
- Each group of four players must stay on their assigned court and only play with the four players assigned to that court. No switching courts or players.
- During this Phase I opening there will be no scheduled events, only open play as signed up for on The Den.
She indicated that following the Task Force meeting in the morning and final presentation to the TP BOD in the afternoon our members could be notified about the Phase 1 reopening rules. Dwyer stated that if members had not used the Den Sign-up Sheet, they could reach out to a friend to sign them up for a specific time. Dwyer noted that sign-up sheets will be available later this week on the Den. (Favorites > TPPC > Sign-up Sheet). Crane said an instruction sheet will also be posted on the TPPC website at www.tppickleballclub.org and sent to members with an email outlining the rules.
Some of the rules discussed included:
--cleaning procedures for balls, chairs
--creating a schedule of hours for tennis use since pickleball and tennis players could not be at the courts at the same time. Knowlton and Howard were to meet with Patti Yost on Thurs May7. --Dwyer to set up a schedule on the Den so players could use the Sign-up Sheet to register for specific two-hour time slots each day, emphasizing that no one can play unless they have signed up in advance on Den
--Review of monitor duties during each time slot. Each monitor will have a list of all players who have signed up for each court for the time block they are monitoring to track players playing together in case the need arose later.
--Re-emphasized was the importance of adhering to the TP rules for safe play so the Courts were not shut down.
The Volunteer Committee was asked to solicit additional volunteers to monitor each of the time slots for pickleball play.
The rule about bringing a chair to the courts was reviewed by the Officers. TPPC requested that players bring their own chairs to the courts to use for rest between games rather than use chairs available to all players that needed to be cleaned after each person sat on them. Dwyer was to write a request for players to bring their own chairs to the Courts for rest and present it to the TP Board during the question period at the Board meeting.
