TPPC Board of Directors Meeting - November 9, 2021

The TPPC BOD meeting was called to order at 3pm on November 9, 2021. Members attending were Knowlton, Howard, Dwyer, Rooks, Asbel, Crane, Ellingson Guests: M. Kohlberg, Wayne Pyatt.

Secretary Report Rooks moved, seconded by Asbel, to approve the October 19, 2021, minutes as corrected. Motion passed unanimously. Crane reported that the Den had instituted a letter that could be sent to new members automatically when they joined Den. She stated it would be possible to have it sent in place of the one she sends to each new member and would do a test to see if it would contain necessary items new members needed and report back to the Board.

Treasurer’s Report Dwyer distributed the Treasurer’s report and summarized main items. He stated Club members were at 848. Rooks moved, seconded by Asbel, that the Treasurer’s Report be approved as distributed. Motion passed unanimously.

Old Business Schedule. Several changes to the November schedule were suggested. --NPU. Attending guest Wayne Pyatt commented that NPU was a popular event and a number of players would like to see more NPU time slots on the schedule. He also stated that 9-11am was a very popular time and to add more at that time. M, T, Th, and Sat were suggested for 9-11am and have ABCD on W, F, and Sun at 9-11am. Although ABCD was also popular, some players felt it was too competitive and preferred the NPU. --Waitlist. It was also requested that the waitlist be reinstated. The Board voted to start the Waitlist for Open Play for the December schedule. Rooks reported that Donny’s Wed. Social play from 4-6 and 6-8pm was working well now. --Practice time. Due to the popularity of the 9-11a time slot and the return of snowbirds, Knowlton requested that practice courts 1,2 (9-11am) be RELEASED to non-prime time OPEN PLAY in Nov. except for M, W when lessons and drills were given. She said it was also important to check the Den schedule for specific practice times on different days. --Den Sign-up. Knowlton noted that Ct 11 has been released to TPPC from 9-11am for sign-up. Ct. 12 sign-up is still by Jonas. --The Board also discussed how far in advance players could sign up on Den. With snowbirds returning and players signing up for an entire month, it is difficult for players to find space in popular play times from 9-11a. Rooks moved, seconded by Dwyer, to have sign-up open a week in advance of an event starting with the December schedule. The motion passed 5-2. Still to be discussed was the day of the week when sign-up for events would occur. Training. Asbel reported that lessons and drills once a week seemed to meet the current need and could be adjusted if additional new members and players returning required more time. --Howard reported that the mentor program was dormant at the moment. --Knowlton stated that a sign-up list where players could write their names was available on the new bulletin board if they were looking for a drilling partner. --Ball Machine. Knowlton reported that the ball machine is now placed under shade area 1 at TP request. Ken Krueger bought a cover for the machine, instructions for use are attached and it can be scheduled for use on the Den. Rooks stated that perhaps having a different colored less expensive ball for ball for machine use would save on cost of balls. He noted that many more balls were being cracked when using the machine. Knowlton moved, seconded by Howard, that the Club buy 100 balls of a different color. Motion passed unanimously. Asbel would check cost. Member Renewal and New Members. Dwyer reported that 2022 membership renewal stated on November 1 with Mon/Wed renewals at the Lodge from 10-12noon. As of the meeting 283 members had renewed. He said volunteers manned the tables each day. T-shirts were also selling well. Rooks said that T-shirts would be sold at Donny’s Wed event during Thanksgiving week.

New Business Den Subscription Update. Dwyer reported that it is cost effective to pay Den members the $3/member in advance and get the current price. He said 100 memberships have already been paid. Asbel moved, seconded by Howard, that 900 memberships be paid for a total of 1000 for $2700. Motion passed unanimously. Cookout. Dwyer reported on the cost of cookouts. Some suggested changes included: changing guest fee from $3 to $5, limiting number of attendees for guest chefs to 60 maximum, and having more potlucks. Asbel and Chef Gino who started the cookouts will discuss some options with Dwyer and Rooks and make recommendations later. Tournament Dates. Asbel announced two 2022 tournaments: Member-Guest (Jan 14-16) and Member Open (Feb. 18,19,20). Asbel and Ellingson will work on volunteers needed for the tournaments. Donations. Rooks recommended that the Club donate $500 to the Employee Holiday Fund. Kohlberg, visiting member, said hourly employees were eligible and amount is based on years of service. Dwyer recommended a total of $2500 in donations for this year and a list of potential candidates to be recommended including candidates from previous years.

Other Items --TPPC 40th Anniversary Celebration. After a discussion of whether to keep the Feb 26 date for TPPC anniversary celebration since another club also had the same date, it was determined to keep the current date. --Guests. A number of guests have been playing on the courts. Board members agreed that guests need to play on the same courts with the member(s) who signed them up. Volunteers. Ellingson will recruit 12 volunteers for ABCD. Wheelchair. The wheelchair is situated under the first shade area at the request of TP.

The next meeting was scheduled for December 14, time to be determined. Howard moved, seconded by Dwyer, to adjourn the meeting at 4:35p.
