BOD meeting April 25


TPPC Minutes – April 25, 2022

Rooks called the meeting to order at 3:06pm at the Country Club. Guests present were: Schmink, Krueger, P. Rocheleau, M. Rocheleau, Tom Bowen, M. Kohlberg Present: D. Rooks, K. Powers, Crane, Dwyer, Hunter, Knowlton. Absent: Ellingson

Director and Committee Reports Crane gave the Secretary’s and Communications Committee Reports --Hunter moved, seconded by Dwyer, to approve the minutes of the April 11, 2022 meeting as corrected. Motion passed unanimously.

--The Sunshine person has gathered samples of Get Well and Sympathy cards. B. Rooks has also created samples of cards. Cards, signed by members, were sent to two members for a death and hospital visit.

--The Committee discussed numbers of photos of Club activities needed and how they will be provided to the committee for review and posting. Further review is necessary.

--The Fix will be sent every other week during the off-season. Cookout emails will be sent every week. Special Den notices will be sent to members when necessary.

K Powers gave the Treasurer’s and Finance Committee Reports --985 current TPPC members

--$8600 in the TPPC account

--Debit cards have been issued and received by all Board check signers.

--T Asbel was asked to purchase pickleballs at the Naples Tournament with each ball no more than $2 for a maximum of $3000.

--The Board discussed approval of expenditures. Powers moved, seconded by Dwyer, that expenditures over $300 would require Board approval before payment via check or debit card.

--Powers requested all events have a Board approved budget prior to reimbursement or use of club debit card for purchases. This request was tabled until the Fall.

--Powers stated a Club master membership list will be maintained on an Excel spreadsheet. Hunter will have real-time, read-only access.

Rooks gave the President’s and Social Committee Reports --TP is reviewing charging fees to instructors who teach swimming and yoga on TP property.

--The wheelchair will be moved to the courts with a caution before moving a person on the ground into the wheelchair.

--Cookouts – goal is to overall financially break even. Suggestions for cookouts: have a theme, monitor side dishes by sign-up on Den, and have possible games at the cookout.

--The Social Committee has requested to hold an employee luncheon in 2022. The one in 2021 was well received by employees.

Dwyer reported for the Equipment & Facilities Committee. --A new battery was received for the ball machine and replaced.

--Holland fills ball holders each morning at the courts.

--At a meeting with TP Board members Bowen, Ohlenroth and Patty Yost, the following items were discussed:

--R. Del Vecchio is cutting fence guards and Dalley and Holland are replacing them on the court fences.

--Pb propane tanks need to be attached to the ground and placed in a container to be bought to store the propane tanks for the grill.

--Dienes has been contacted about adjusting gates between some courts to prevent balls from rolling onto adjacent courts.

Krueger gave the report for the Training and Competition Committee for Ellingson, who was absent. Learning. Some Learning & Development sessions have changed days/times for May.

--Starting soon Rocheleaus will conduct a mentor training to help make sure all instruction is consistent.

--The following events have changed times for the summer: Men’s, Ladies’ Days to 5-8pm, Donny’s Wednesday events to 5-7 and 7-9pm, Partner events also moved to 5-7pm slots.

--The court schedule is now in 2-hour blocks starting at 7am. Court and Den schedule spreadsheets are also synchronized.

--Requests for potential new events will be reviewed in the Fall.

Tournaments. A tentative schedule for 2022 tournaments has been created. M. Rocheleau reported on the tournaments and a tentative list of dates and the following items:

--Concessions would be run by the Social Committee.

--The possibility of tournament players getting free meals and also concession volunteers.

--Tournament fees would be $15.

--Specific charities would be named before tournaments and proceeds would go to those named charities.

--One memorial tournament would be held to honor all recipients instead of tournaments named for a specific person.

Hunter gave the Administration and Committee Report.

--No chair for this committee.

--Club members and phone numbers have been removed from public website but remain on Den site.

--Hunter is reviewing Board duties listed on the public website and Den to update where needed. Some duties can stay as they are until the by-laws have been updated.

D. Rooks stated summer Board meetings will be the second Monday of each month at 3pm with the next one on May 9 at the Country Club. The meeting was adjourned at 4:55pm.
