TPPC Minutes of January 16, 2023
The TPPC meeting was called to order at 1:01pm on January 16, 2023 at the Country Club. A quorum was present.
Members present: Knowlton, Ellingson, K. Powers, Crane, Hunter, Kohlberg, Rocheleau.
Other members also attended.
Minutes. K. Powers moved, seconded by Ellingson, to approve the TPPC January 3, 2023, minutes as corrected. The motion was approved.
Treasurer's Report. The following was reported by K Powers:
-- Cash of $ 15,292.79 with "available balance" of $ 9,657.79
-- A savings account has been opened at Truist. The account will be used as a depository account and funds electronically transferred to the checking as needed.
-- A DRAFT of the 12/31/22 income/expense was given to each board member.
--Motion made and duly seconded: Board approval is required prior to reimbursement for requests that are $100 or more above the revenue generated for an event/activity or over $300 if no revenue is generated. Motion approved unanimously.
--Current membership is 955 as of 1/15/2023.
--Motion made and duly seconded to approve Treasurer's Report. Motion approved unanimously.
Events Committee. The Events Committee recommended having cookouts once a month on the first Saturday of the month instead of every week beginning in February. The motion passed. The price of the cookout will increase from $3 to $5 starting in February.
Tournaments. Rocheleau organizes and runs tournaments. This year a Memorial Tournament will be held in February in memory of those who passed in this last year.
Facilities Committee. Kohlberg reported:
--The new ball machine batteries are not working so the ball machine must plug into the AC power outlet. If needed, TPCA will look into purchase of a battery.
--Dienes will check on spare rollers if needed for water removal on the courts.
--Kohlberg requested Corwin have grass clippings cleaned up on the courts after mowing in the early morning. An RFA should be submitted to the Association for this work.
--A request for repairs for hooks and zip ties to attach paddle racks to the fence for safety, fix the clock at the Pavilion, and look into barbeque grill needing parts.
--End caps are needed on bleachers to avoid ankle injuries. Dienes to check.
--Other facility needs: dinking mat on backboard, windsocks purchased on longer posts, propane, first aid and medical supplies.
--Leaf blowers do not remove water well and batteries wear down quickly. Need to test before requesting a change in blowers.
--Kohlberg is in charge of the storage room at the Courts and keys/codes for access to lockbox.
--Problems with pickleballs breaking in cold weather. Discussion occurred about types of balls and putting balls out when the temperature is 50 degrees or higher. Put a notice in the Fix that players bring their own balls when temperature is below 50 degrees. Holland and Lightfoot stock balls in holders at the courts when the temperature is above 50 degrees.
Administration Committee. Hunter stated that her committee of Chris Gottfried and Colleen Stewart has been working on revisions of the TPPC By-laws. She said the revised By-laws had to be sent to the TPPC membership at least 30 days in advance of the Annual Meeting where a vote would be taken. She said changes included verbiage, punctuation, TP membership guidelines, guests as members, guidelines for replacing officers, committees, Inc. in guidelines, to name some. Kohlberg moved, seconded by K. Powers, to accept the amended and restated By-laws today. Hunter said she would send them out for member review.
Nominating Committee. Thayer agreed to Chair the 2023 Nominating Committee with Carol Bowe and Peggy Patton as members. Mel Kohlberg is their BOD representative to the Nominating Committee. Motion passed.
Auditor. Hunter moved, seconded by Rocheleau, that Kohlberg audit the TPPC account for 2022 as he did last year. Motion passed.
Medical Committee. Thayer and H. Coverdale, two nurses, will take over the Medical Kit and medical inventory, and provide information for the Fix First Aid Corner. Dalley was thanked for all his work on supplying medical supplies and helping in medical emergencies.
Den liaison. Hunter provides liaison between Den Administration, TPPC, and members.
Training and Development Committee. Ellingson stated lessons will continue on M, W, F with leaders, trainers and mentors and working with the ball machine. Krueger will oversee some of the instruction and work with other leaders.
Communication Committee. Crane reported Smith sending 2 cards: get well card to Connie Gillette with broken wrist and Peg Dwyer hospital visit with thinking of you card. Additional pickleball cards purchased. Bowe updated Courts Bulletin Board and coordinated with TPPC webmaster Eisenhard. Crane worked on the following:
--Sent Fri. Fix and Fri Flash each Friday and all Den correspondence to the membership including the Mulligan tournament announcements and other special events notices (e.g. NYE notices, Throwback Tues now changed to Thurs. monthly, lesson changes), sent at the request of other Board members and committees.
--Wrote BOD meeting minutes Jan. 3 and Jan. 16.
--Wrote welcome letters and sent to new 2023 members (45 so far since Jan 1) after the Finance Committee enters new members into Den.
Other Business
-- Rocheleau and Kohlberg to check for cold weather pickleballs.
--Rocheleau proposed having additional pickleball club to club events play on the TP courts. He would try to have different levels and different members play at these events. He also asked if the Club could budget $100-$150 for each event for any expenses. It was decided the idea for expenses needed further discussion.
--Member Colleen Stewart presented an idea of creating a non-member usage fee to allow long-term guests to get a Den account so they could sign up for play. The Board made no decision on the proposal at this time.
Parking Reminder: Location for car and golf cart parking (e.g., grassy area and north end of parking area for car parking).
The next meeting was scheduled for February 15 at the Country Club at 1pm. The meeting was adjourned at 2:48pm.
