Board of Directors Meeting Minutes October 11, 2020

Present: Knowlton, Howard, Dwyer, Crane, Asbel President Knowlton called the meeting to order.

Minutes: Crane stated the approved minutes for August 30 and September 13 will be sent to Fortin for the TPPC website.

Old Business

Knowlton stated that the primary items for this meeting were to discuss and finalize pickleball play schedules for November-December and 2021 new court schedule and revised By-laws.

October Schedule. Because of the failure of lighting on the parking lot side of the Lodge Courts, evening events from 6-8pm will start at 4pm for Monday ABCD, Tuesday Men’s Day, Wednesday Donny’s Social, Thursday Ladies’ Day. Timber Pines facilities are not sure when lighting will be fixed. Fortin will put the new October revised schedule on the Den and the website. Crane will post on Lodge Bulletin Board.

November-December Schedule. Dwyer reviewed the schedule for November and December with events at new time slots and new events including two levels of Skills/Drills, Den Round Robin, ABCD Partners. Knowlton moved, seconded by Howard, to approve the November/December schedule as presented. The schedule will be sent to Fortin for the website, placed on the Lodge Courts Bulletin Board, and sent out in the October 31 Friday Fix.

2021 Schedule. Dwyer presented a draft 2021 schedule for the new 12 courts to include play time from 7am to 9pm daily. The schedule includes TPPC events and open play non-Club hours on several courts. Howard moved, seconded by Knowlton, to approve the draft schedule to be sent to Fortin for the Den and website.

Dwyer will send Yost copies of the November-December and 2021 schedules.

By-laws. Dwyer reported that a Committee had revised the current TPPC By-laws. Howard reported that the Lodge Porch was reserved for 4pm on December 2 for a special TPPC meeting to vote on the revised By-laws. Crane will send the final amended and restated By-laws to include changes from today’s meeting to all Board members to approve by email. Once approved Crane will send out the revised By-laws to all members on November 30 and each week until the meeting on December 2. Along with the By-laws will be information on why the By-laws had been revised and a comparison of the current and revised By-laws to help member to review them. Members who cannot attend the meeting will also be asked for their opinion on the By- laws. Dwyer noted that no absentee or proxy ballots can be used. He stated that 60% of members present at the December 2 meeting are needed to approve the revised By-laws.**

New Business

Knowlton reported on the following items:

--Asbel listed the tournaments for 2020-2021. Dwyer said he will send the list of tournaments: the Fun Tournament on November 13-15, Christmas Day, January, February and March 2021 to Yost and also indicate that all 12 courts would be needed for each tournament. TPPC donations for the November tournament would go to the Food Bank. Communications for the November tournament will need to go out at the beginning of November.

--Dwyer noted that Yost had supplied four (4) pickleball paddles for residents to use at the Courts. He reported that the paddles are quite heavy, and he will talk to Yost about exchanging them.

-- Dwyer is to contact Yost for approval of Lucy Kitcher Clinic in January and that all 12 courts are needed on Clinic days. He also suggested a test sign-up for the Clinic to check for interest. Asbel indicated clarification was still needed on guest play for pickleball in general and especially for tournaments and the January Clinic. Knowlton stated that the matter of guests will be reviewed by the Task Force again this week.

--Crane stated that membership renewal starts on November 1 and an updated renewal form is completed. She noted that a Play at Your Own Risk statement on the renewal form needs members to initial this year.

--Howard reported that she will meet with Rocheleaus next week and then meet with mentors who will be working with new players on the Beginner/Novice Courts to arrange a schedule. --Knowlton said initial planning is underway for an opening ceremony for the new Courts in January. Dwyer has compiled a list of previous Board members to participate in the opening. --Howard brought up a problem with offensive language on the Courts and how to deal with it. Asbel noted that USAPA addressed this issue in their Official Rule Book especially for tournament play. Knowlton requested this issue be included in the next Friday “Fix.”

--Crane suggested that the format for the Friday “Fix” include the current text version sent to members and that attachments be linked to the TPPC website along with a PDF of the “Fix” text as suggested by Fortin. The Board agreed to this format.

With no further business, the next meeting was set for 1:30pm on Friday, October 16 and the meeting was adjourned.
